AI that reads your invoices and receipts, so nobody has to type them
Stop keying documents one at a time. The system reads them, pulls out the numbers, checks that the totals add up, and drops clean rows into your spreadsheet. Your team only looks at the few that seem off.
This is for you if any of this sounds familiar
Someone types receipts into a spreadsheet every day
It is the slowest job in the office and the easiest one to get wrong, because it is repetitive and dull. A system can take almost all of it off that person.
Month end close never balances the first time
One mistyped digit can cost a day of hunting. The system checks the numbers as documents come in, instead of three weeks later when nobody remembers the invoice.
Documents arrive from everywhere: email, chat apps, paper
All of it lands in one place. A photo taken on a phone is enough to get a document into the system.
You want reports, but the numbers only exist on paper
Once your documents are data, a report or a dashboard stops being a project of its own.
Three packages. Pick the one that matches what you actually need
These are full project prices, not starting points that grow later. If anything falls outside the scope, I tell you the number before I start on it.
- One document type, up to 8 fields, all named in the spec on day one
- Drag a batch in, see what was read from each file, correct it right there
- Rows land in your own Excel or Google Sheet automatically
- A daily figures page: how many read, what they came to, how many need review
- One accuracy pass against your real documents before handover
- Up to three document types, with every line item, quantity and unit price
- The arithmetic is checked. Failures are raised, the rest goes straight through
- Intake from a chat app. Staff photograph a document and send it in
- A spend dashboard with historical charts, by vendor and by category
- A field mapping document, so your team can add new types without me
- An approval step, with every approval recorded against a name and a time
- Pushes into one accounting system or back office, so nobody re-enters it
- Catches duplicate payments, sudden jumps, and first-time vendors
- The monthly summary comes to you, with an immediate alert on anything odd
- A written security review of the system being handed over
How it works, from first message to launch
Send me 10 to 20 real documents
Real ones from your normal week, including the crumpled and badly photographed ones. Bad samples show me the hard cases before I quote.
You get a written scope
I run your samples through first, then tell you the accuracy I actually got, what it will cost and how long it takes. In English, in writing.
Build and test on your own documents
I test against a larger batch of yours and tune it until it is accurate enough to trust in daily use.
Handover
Source code, English user guide and technical docs, a written walkthrough for your team, and 60 days of support after that.
Questions people ask about this service
How accurate will it be on our documents?
I will not quote a number out of thin air. Send 10 to 20 of your real documents, I run them through and tell you what I actually got, field by field. If the result is not worth what you would pay, I will say so and tell you not to build it.
Our documents are confidential. Is this safe?
The system runs inside your own cloud account, so the data does not sit with me. If you want it, original files are deleted automatically once they have been read. Security work is my main line of work, so I build it that way by habit.
How do we know when it reads something wrong?
Every document gets a confidence score. Anything the system is unsure about, or where the totals do not match, is pushed into a review queue for a person. The clean, confident ones pass through. Your team checks the few that need it instead of all of them.
Does it handle full tax invoices?
Yes. It can pull the tax registration number, document number, net amount and tax as separate fields. I did real bookkeeping before I wrote software, so I know which fields an accounts team actually needs and which ones are decoration.
Can we add reports or a dashboard later?
Yes. Once the documents are data, reporting is the easy part. Connected Workflow already includes a spend dashboard, and anything beyond that is a small piece of extra work on top of what is already there.
Do we need to get on a call?
No. I work in writing, in English: written scope, written updates, written handover docs. I reply inside stated working hours and I tell you what they are in your time zone. If your team can only make decisions on live calls, I am probably not the right fit for you.
Often booked together
Send me 10 sample documents
I run them through and show you what came out, before you pay anything.
You get a written answer in 1 to 2 business days. No call needed.
